What to include on a professional invoice

The best invoice answers four questions immediately: who sent it, what it covers, how much is due, and how to pay.

Document identity

Label the document clearly as an invoice and give it a unique number. Include the issue date, due date, and agreed payment term. If the client uses purchase orders or job references, include the correct reference.

Seller and client information

Show the issuing business name and the contact or registration details required for your situation. Add the client's correct billing name and address rather than only the person who commissioned the work.

Logo, color, and typography can support trust, but legal identity and readable contact information should never depend on the visual brand alone.

Work, amounts, and tax

Describe each service or product, then show quantity, unit, rate, and amount where relevant. Include discounts, configured tax, subtotal, payments already received, total, and remaining balance in a clear hierarchy.

Payment and supporting information
