How to send an invoice PDF from your iPhone

Review the actual PDF first, choose the client’s expected channel, and retain the exact copy you sent.

Review every page

Open the final PDF rather than relying only on the invoice editor. Check the logo, business and client details, line-item wrapping, page breaks, totals, notes, signature, attachments, and payment information.

If the invoice contains a payment link or QR code, test the destination. Confirm that the account and reference belong to the intended business.

Use a recognizable filename and subject

A filename such as Invoice-INV-1042-Acme-Studio.pdf is easier for the client to store and find than document.pdf. Include the invoice number in the email subject and short message.

Choose the right iPhone share destination

The iOS share sheet can make Mail, Messages, AirDrop, Files, Print, and compatible apps available. The exact options depend on the apps and services installed on the device.

A successful handoff means the PDF was passed to the selected system destination. It does not prove that the client opened, accepted, or paid the invoice.

Keep the sent copy

Retain the exact PDF and the date or channel used. If the invoice is revised later, preserve the relationship between the original sent document and the corrected version.
